How to create and manage tags
Overview
Tags are the labels you assign to journeys, insights, opportunities, solutions, and other building blocks in TheyDo. This guide covers how to set up tag categories, add tags from Settings, create tags directly in building blocks, and keep your taxonomy clean over time.
Before you start
- You need workspace admin or organization admin access to create and manage tags from Settings.
- Any editor can add existing tags to building blocks directly within the product.
Set up tags in Settings
The best place to manage your workspace taxonomy is in Settings. This is where you can create, edit, remove, and merge tags across all categories.
- Click the cogwheel icon in the bottom-left corner.
- Select Taxonomy from the sidebar.
- Open the tag category you want to manage (for example, Statuses, Types, Groups, or Global tags).
- Add new tags or hover over an existing tag to edit, remove, or merge it with another.
Merging is useful for cleaning up duplicates — for example, combining "Mktg" and "Marketing" into a single tag without losing any existing assignments.
Create a tag category in a building block
Tag categories can also be created on the fly from within any building block.
- Open a Journey, Insight, Opportunity, or Solution.
- Click the + icon in the tags section.
- Name your new tag category.
- Add tags to it as needed.
New categories created this way will appear in Settings and be available across the workspace.
Add tags to a building block
- Open any Journey, Insight, Opportunity, Solution, Persona, Goal, or Metric.
- Find the tags section in the item panel.
- Select the tag category you want to use.
- Choose or search for the tag you want to apply.
Tag types
TheyDo uses four types of tags. Each works a little differently:

| Global tags | Flexible labels across all elements, organized into categories (e.g., Channel, Region, Brand) | Multiple allowed |
Automatic tag creation from file uploads
When you upload a CSV file with tag group columns — like Location, Market, or Deal Stage — TheyDo can create tags automatically during the upload process.
Here's how it works:
- If a matching tag already exists, it'll be used.
- If no match is found, a new tag is created for that value.
- Tags are assigned to all extracted quotes from the relevant rows.
This is especially useful for large datasets where tagging manually would take too long.

Tips
- Use colors and emojis for each tag category so they're easy to scan and distinguish when multiple categories are in use.
- Set up your taxonomy early and share it with your team so everyone tags consistently from the start.
- Merge duplicates regularly from Settings to keep your taxonomy clean and your filters reliable.
- Statuses and Types are one per item — keep them simple and distinct so they're easy to apply consistently.
