Manage access to a Collection
By default, a collection is private and only visible to you. This guide explains how to change who can access a collection and how to share it with your audience.
Before you start
- Only the collection owner can change its visibility
- Sharing is currently workspace-level only — you can't share with specific people or set per-user permissions yet
Steps
- Open the collection you want to share.
- Find the visibility setting, shown as Private by default.
- Change the visibility to Workspace. Anyone in your workspace will now be able to find and open the collection.
- Copy the link from the collection page and share it with your intended audience.
To make a collection private again, follow the same steps and switch the visibility back to Private.
Accessing a shared collection for the first time
If someone receives a link to a collection but isn't logged in or doesn't have a TheyDo account yet:
- Open the link.
- Select Log in with SSO.
- Existing users will be redirected directly to the collection.
- New users will be guided through account creation before being taken to the collection.
What workspace members can do
Once a collection is shared, anyone in your workspace with access can:
- View all the linked content
- Use the TheyDo Agent, scoped automatically to the collection
- Add or remove linked content
Heads up: Collections currently follow the same permissions model as documents. Once shared, all workspace members with access can edit the collection (add or remove items). Owner-only controls are planned for a future update.
Tips
- Add a clear description before sharing — it's the first thing your audience sees and sets the context for everything below
- The TheyDo Agent is scoped automatically, so viewers can ask questions and get answers grounded only in what you've curated
- If you only want certain people to have access, share the link directly rather than relying on workspace discoverability
