Share and export a Doc
Overview
Docs are private by default. This guide explains how to share a doc with your workspace and export it as a PDF for stakeholders outside TheyDo.
Before you start
- Only the doc owner can change its visibility. Users with edit access can open the sharing dialog but can't change the setting.
- If a doc has no owner assigned, visibility can't be changed until an owner is set
Share a doc with your workspace
- Open the doc you want to share.
- Select the Share button in the top actions area.
- Change the visibility from No access to Share with workspace. Anyone in the workspace will now be able to find and open the doc.
- Copy the link and share it.
To make a doc private again, follow the same steps and switch back to No access.
Heads up: Private docs don't appear in the library for other workspace members, but anyone with the direct link can still open them. If you want to restrict access, avoid sharing the link.
Export a doc as PDF
- Open the doc you want to export.
- Select the Share button and go to the Export tab.
- Choose whether to include the document title in the PDF.
- Select Export. The PDF is generated in the background — you'll get an in-app notification and an email when it's ready to download.
Tips
- Exporting can take up to a minute depending on the size of the doc
- Docs don't support real-time collaborative editing, so PDF export is the easiest way to share a finished version with stakeholders outside TheyDo
- If you want to transfer ownership, you'll need to share the doc with the workspace first — owner can't be changed on a private doc that already has an owner assigned
